Roles and Responsibilities:

  • Manage daily office operations, including answering phone calls, responding to emails, and handling correspondence.
  • Maintain and organize company records, documents, and files, both physical and digital.
  • Assist with scheduling appointments, meetings, and travel arrangements for staff and management.
  • Prepare and edit documents, reports, and presentations as needed.
  • Coordinate with other departments to ensure smooth communication and workflow.
  • Monitor office supplies and place orders when necessary to maintain adequate inventory levels.
  • Process invoices, handle accounts payable/receivable, and assist with basic bookkeeping tasks.
  • Ensure compliance with company policies and procedures, and update them as necessary.
  • Assist with human resources tasks such as onboarding new employees and maintaining personnel records.
  • Handle customer inquiries and provide support as needed.

Education and Qualification:

  • High school diploma or equivalent; a degree or diploma in business administration or a related field is preferred.
  • Previous experience in an administrative role is required.
  • Strong organizational and multitasking skills, with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office management software.
  • Ability to work independently and as part of a team.
  • Basic knowledge of bookkeeping and accounting procedures is an asset.
  • Strong problem-solving skills and the ability to handle sensitive information with discretion.
